This notice explains how the Vintage Grove Apartments website handles information submitted through its leasing inquiry forms.
Information you choose to provide
When you submit an inquiry, the website securely records the name, email address, optional phone number, message, selected interest, preferred visit date when supplied, source page, form identity, server receipt time, and event identifier needed to route and troubleshoot the request. Do not submit financial, identity, or other sensitive information through these forms.
Lead delivery and confirmation email
The inquiry is first sent through a private, signed lead webhook to the Vintage Grove leasing workflow, which may include Slack. Only failed webhook attempts are retried. If that route remains unavailable after repeated attempts, Emailit sends the inquiry to the designated leasing mailbox and blind-copies the leasing team’s Slack email-ingest address. After the lead is accepted by the webhook or email fallback, Emailit separately sends a branded confirmation to the email address entered on the form. The confirmation does not copy the leasing recipients or Slack, and open and click tracking are disabled for that message.
Optional text-message preference
The phone field remains optional. After a valid phone number is entered, a separate, unchecked checkbox can be used to authorize inquiry-related text messages from Vintage Grove Apartments. The server records consent as YES only when the checkbox is affirmative, the phone number is valid, and the submitted disclosure version is recognized. Otherwise, a valid inquiry may still be delivered and the SMS preference is recorded as NO.
The routed consent evidence includes the property identity, YES or NO status, submitted phone number, exact disclosure version, server receipt time, source page, form ID and title, event ID, and destination workflow. These operational records may be retained to administer communication preferences, prevent duplicate processing, honor opt-outs, and resolve delivery or compliance questions. External services and technical records
Website hosting, Emailit, Slack, Aircall, map, application, and resident services operate outside this website and apply their own privacy and security practices. The hosting service may maintain routine technical records such as request time, network address, requested page, and device information for reliability, rate limiting, abuse prevention, and security.
